Description

 
  • Retrieves all health data records of discharged patients daily, from all units and reconciles it against the daily discharge report.
  • Prepares health data documents for scanning, by ensuring that all documentation has HIPAA required patient demographic information and ensures that all documents will process through the scanner without causing mechanical problems.
  • Group health data documents by document type in chronological order, 97% of the time.
  • Identifies and removes COLD fed health data documents from each record.
  • Accurately files all rhythm strips received from daily discharges by patient account, name, and MRN.
  • Performs scanning process in a timely and accurate fashion while adhering to all department scanning polices.
  • Performs all daily loose filing and rescans any health data records that have been returned by indexing in a timely and accurate manner.
  • Answers all incoming calls into the department within 3 rings and appropriately forwards them.
  • Maintains a 97% scanning accuracy rate.
  • Reviews 97% of images scanned within 24 hours of the scanning process.
  • Accurately identifies all health data documents that are of poor quality and positioned incorrectly then rescans documents until image quality is the best possible.
  • Verify that all health data documents include the required HIPAA patient demographic information are mapped to the correct patient account.
  • Assigns the appropriate health data document type; merges, splits, inserts or append documents when and where it’s appropriate 98% of the time.
  • Writes each indexed batch to the appropriate queue according to workflow procedure.
  • Perform ED chart analysis, as needed, to ensure that all deficiencies are assigned within 3 days post discharge.
  • Reviews assigned work queue(s) daily and ensure timely processing of all assignments in the HPF work queues.
  • Answers all incoming calls into the department within 3 rings and appropriately forwards them.
  • Communicates operational challenges to management to ensure timely processing of daily discharges.
  • Has and maintains thorough working knowledge of the computer system to include HPF, Lotus Notes, Microsoft Windows and Excel programs. Also has a thorough knowledge of, and navigating through, MD Portal to assist physicians with completion of their electronic medical records, if needed.
  • Has and maintains thorough working knowledge of the scanning system to include knowledge to avoid and clear any obstructions within the scanner system.
  • Perform chart Quality Assurance process, and report any issues that needs to be addressed with regards to chart quality to management.
  • Perform inpatient and outpatient chart analysis, as needed, to ensure that all deficiencies are assigned within 3 days post discharge.
  • Utilizes Adjusted Document Imaging (API) to correct health data documents inappropriately scanned into an incorrect record.
  • Adheres to department polices and procedures. 
  • Employee has willingness and ability to perform additional duties in different areas of the department/hospital on an as-needed basis.
  • Communicates well with co-workers, management, employees and physicians, reporting problems with equipment, supplies, or procedures.
  • Consistently strives to understand, anticipate and meet the needs, expectations and satisfaction of patients, visitors, co-workers and medical staff.

Qualifications

 
  • High School graduate or equivalent. Prefer a graduate of an approved program of the American Health Information Management Association (AHIMA) as a Registered Health Information Technician (RHIT).
  • Three (3) year previous clerical and/or analysis experience in a Health Information Services Department preferred.

SUMMARY OF DUTIES
The Sr. Technical Analyst implements and supports a broad range of facility-based IT&S equipment. ·         Attends in-service presentations, and complete mandatory education week including, but not limited to, infection control, patient safety, quality improvements, MSDS and OSHA Standards.
·         Demonstrates knowledge of occurrence reporting system and utilizes system to report potential patient safety issues.
